    Neenah is currently searching for a Senior Executive Assistant who will support the CIO and IT function, but will also provide cursory support to two other senior level VP’s and will be the primary point of contact for internal clients and staff as well as external vendors, consultants and contacts. To be successful in this role, the incoming candidate will have a good technology acumen along with a proven track record of using discretion with highly confidential information and working independently in a fast paced environment. The ideal candidate has the ability to manage and prioritize multiple projects, has a sense of urgency to complete tasks and activities on time and has excellent verbal and written communication skills.

    Responsibilities

    Travel arrangements, calendar management, and coordination, phone management and correspondence for three Senior Level VP’s

    • Create itineraries, meeting planning, set-up arrangements inclusive of food and drinks and
    • Assist in managing calendars and scheduling meetings.
    • Manage phones – Answer and screen calls.
    • Manage and Screen incoming mail.

    Expense reporting and authorization for the VP’s and their Teams

    • Expense Report generation.
    • Proxy for team expense report authorization for Vice President’s direct reports.
    • Monitor Team expense reporting to ensure submitted in a timely and accurate

    Site Support

    • Provide Support at Neenah Corporate Office.
    • Provide other general support as needed and available
    • Assist in management of incoming calls on main line.

    Annual Meeting Coordination

    • Responsible for working with the teams to coordinate location, hotel logistics, meals, meeting space, audio visual needs, nightly activities etc.

    License Management

    • Monitor and manage various software licenses to ensure accuracy, compliance, and timely renewals of support.
    • Maintain central file of license agreements, vendor materials, etc.

    General Support

    • Assist the local Teams with basic support as needed (i.e., set up phones, deliver equipment and basic set-up, access management, end-user assistance, appropriations, printers)
    • Documentation Management: Assist in the maintenance, editing, and publishing of related documentation (i.e., Standards, policies)
    • Distribution of monthly communications
    • Manage AT&T Conference Numbers
    • Assist in special projects as needed
    • Assist in the monitoring of spending to forecast

    SOX Management

    • Monitor and manage various quarterly SOX deliverables.
    • Monitor compliance and deliverables from business units.

     

    Qualifications

    • Bachelor Degree preferred but not required.
    • Minimum 2 years of related work experience as an Executive Assistant.
    • Demonstrate strong computer skills and advanced knowledge of Microsoft Office Products. 
    • Good general knowledge of technology. 
    • Knowledge of Oracle ERP, Concur expense management, and Microsoft SharePoint a plus but not required.
    • Strong communications, customer service, and professional demeanor skills both internal and external facing (phone/e-mail).
    • Exhibits good general business understanding and strong judgment.
    • High level capability to multi-task in a dynamic environment.
    • High level of accuracy and completion rate.
    • Attention to detail in scheduling and project management.
    • Good project management skills.
    • High level of discretion in communications.
    • Demonstrates a proactive approach and collaborative style.
    • Quick study, able to take direction and “get it” and then act.
